CDW Pricing Plans: A Breakdown

CDW has no tiers. The bill is built from four cost lines, and each one follows its own rules.

Hardware

CDW sells devices outright. Small buyers pay the web-store list price, and larger buyers or managed accounts get a quote from their rep. There is no published promise to match the manufacturer's retail price.

Buyers describe the gap in numbers. "They are always 5-15% more expensive than our preferred suppliers", one sysadmin wrote in a 2026 r/sysadmin comment. Another put it at "roughly 30% more expensive than competitors" in a separate thread.

Managed accounts often sit on cost-plus contracts. A former CDW employee advised buyers to "Ask for direct vendor quotes and then have them add markup after", in an r/ITManagers comment.

Configuration and Enrolment

CDW's Configuration Centers image devices, apply asset tags and enrol them into Apple Business Manager or Windows Autopilot. Each service is priced per device and quoted by the rep, and CDW does not publish the full list.

  • The price can rise before shipment. CDW's terms, quoted in its own BBB reply, say it "reserves the right to make pricing adjustments due to manufacturer or supplier changes, availability issues, or errors in advertisements", per BBB complaint #24608993. One buyer's 11 Surface Pro units were quoted at $1,591.24 and then raised to $1,693.84 within a day, per a Trustpilot review from April 2026. Another saw a 24% increase, about $1.4k, while CDW held his order, in a March 2026 review.
  • Returns carry a restocking fee. One buyer paid 15% on an unopened device worth over $3,000. On a cancelled renewal, CDW confirmed a 25% fee "automatically applied at the time the credit was processed", in BBB complaint #24399654.
  • Setup is billed per device. Imaging, enrolment and tagging each add a few dollars per unit, which adds up across a fleet.
  • Buyback returns store credit. Value from retired devices stays with CDW.

Pro tip: ask for the manufacturer's direct quote before you accept CDW's. Request the same configuration from the OEM's sales rep, then ask your CDW rep to show the difference as a line item and to confirm in writing that the price holds until shipment.
